Begin from the product, not the catalogue

Write down what the finished product must do — set time, final texture, thermal exposure, clarity, label requirements — before looking at any grade. A specification derived from product requirements can be defended when a change is proposed. One assembled by copying a supplier's datasheet locks you to that supplier's happenstance rather than to your own needs.

Fix the properties that matter, allow the rest

Bloom, viscosity, mesh, type, pH, moisture and ash are the usual candidates. Constraining every one of them tightly narrows the supply base and raises cost without improving the product. Identify which genuinely drive your process, hold those tightly, and leave the others at commercially normal limits so alternative sources remain available.

State the measurement conditions

A number without a method is not a specification. Record the concentration, temperature and procedure for each property so that your laboratory and your supplier's are answering the same question. Most disputes about whether a batch conforms turn out on inspection to be disputes about how it was measured.

Specify the documentation you require

Certificate of analysis content, halal certification, allergen and origin statements, and microbiological criteria should be named explicitly. Agreeing what accompanies each shipment at qualification avoids the situation where a batch is technically compliant but cannot be released because a required document was never part of the arrangement.

Qualify more than one source

A specification written around a single supplier's typical values will fail the first time that supplier cannot deliver. Qualifying a second source at the outset — even if volume never moves — tests whether the specification describes the material you need or merely the material you happen to buy, and it protects continuity when supply tightens.

Review it against production reality

After a period in production, compare the specification against the certificates received and the problems encountered. Limits never approached can be relaxed; properties that caused trouble but were never specified should be added. A specification revised against evidence gets steadily better, while one filed at launch slowly stops describing the process it governs.
